Before you send!

  1. Double check what’s been supplied – via email, job brief task + job folder. Don’t ask for things you already have pls – eg if they gave the domain details, then delete from the info request.
  2. Delete any unnecessary items from the template before sending
  3. Customise Stage 1 + Stage 2 with the actual items discussed during thebriefing call/meeting.
  4. Attach sitemap – and make sure it’s the final agreed version.
  5. Start a new email – don’t reply on a previous trail.
  6. Update Asana – comment with the send date + assign back to yourself with a follow up date.

Hi XXX,

We’re keen to get started on your website – but first, we need a few things from you.

Below is the full list of what we’ll need across the project, but to get started on your home page proof, we only need the Stage 1 items.

I’ve attached the site map again for reference – shout out if anything’s unclear!

<delete any items not needed + add in anything extra you do need>

Stage 1 > To start your home page:

  • <insert any custom items discussed for homepage>
  • Logo files – and style guide (if you have one)
  • Selection of images – the best good quality, high resolution photos that you have (to be used as banners + for design elements)
  • Any existing marketing collateral – brochures, business cards etc so we can align the website design
  • Design inspo – a few websites you love (and a couple you hate), with quick notes on why so we can understand your preferences (doesn’t have to be from the same industry)

Stage 2 > For the rest of the site build:

  • <recheck notes + site map + insert specifics for others pages – links, documents, images, copy notes, testimonials, logos, form fields etc>
  • Blog page – please send 3 sample items (eg media releases, blogs/articles or PDFs)
  • Calendar – 2-3 event examples that cover different types (e.g. free/paid, public/private)

Stage 3 > To go live:

  • Domain access – login for your domain registrar or contact details for your IT team (whoever manages your domain)
  • Google account email – ideally the one used for your Google Business Profile or Ads (we’ll use it to connect Analytics)
  • Meta Pixel – if you have it (if you don’t + want to set up, here’s how > https://www.facebook.com/business/help/952192354843755?id=1205376682832142)
